Warranty Procedure for Small and Medium Office Equipment and Personal Products

Xerox provides a standard 12-month warranty on equipment, covering manufacturing defects, from the date of sale of new (unused) equipment to the first end customer. The Xerox warranty  applies to equipment imported into the territory of the state by persons and organizations directly authorized by Xerox, in other cases of importation of equipment into the territory of the state, the warranty obligations are borne by the seller of the equipment.

The warranty provides for the repair of the equipment by an authorized service organization at the expense of  Xerox  in the presence of malfunctions that arose due to the fault of the manufacturer (warranty repair). The warranty covers parts and materials necessary to restore the equipment to working order, as well as labor costs for repairs in the event of a manufacturing defect, provided that the equipment is used as recommended by Xerox and complies with the other terms of the Xerox warranty.

Xerox does not warrant the life of consumables or service parts and components because it largely depends on the operating conditions of the equipment, on the characteristics of the paper used by the customer and on the parameters of the prints being made. Consumables include ink, ink cartridges, toner, toner cartridges, media, photoreceptors, imaging and print cartridges, fuser oil, inkjet printheads, waste toner packs, and other related items sold by Xerox for equipment. Additional terms:

  • The customer may be required to provide proof of purchase .

  • The warranty does not cover possible damage from loss of profits, loss of data and other direct or indirect losses associated with equipment malfunction.

  • The authorized service organization may charge the customer for parts, materials and service if the work is not due to a manufacturing defect.

  • All parts replaced under warranty are the property of Xerox and will be removed by an authorized service organization upon replacement.

The warranty does not cover the following cases:

  • Improper handling of the equipment and its incorrect use, incl. unauthorized software modification.

  • Intervention by persons not authorized by Xerox to maintain or repair the equipment.

  • Damage resulting from special circumstances such as explosions, hostilities or riots.

  • Equipment falling and/or being hit.

  • Connecting equipment to unsuitable power systems, surges or drops in the electrical system, connecting equipment without a separate ground line, electrical faults at the customer's site. Damage from improperly functioning voltage regulators or UPS.

  • Operation of equipment in excess of the recommended load volume for it.

  • Use as a support for the installation of other equipment or objects.

  • Updating and setting the printer driver.

  • Software settings in the customer's network environment.

  • Actions performed by the user as described in the Manuals and Instructions supplied with the equipment (for example, replacing consumables, customizing operating modes, clearing paper jams, etc.).

  • Periodic cleaning, adjustment and adjustment of equipment and its components (preventive maintenance, color calibration), replacement of resource parts.

  • Problems resulting from the use of non-Xerox parts and supplies.

  • Malfunctions received during transportation.

  • Purchasing equipment through channels not authorized by Xerox for this region.

  • Removing or altering logos or serial number stickers.

  • Damage, failures and malfunctions resulting from failure to perform periodic maintenance, as well as from improper maintenance, improper handling or misuse of the equipment, improper installation and, in general, negligence, incompetence of the owner, employees or other persons who gained access to the equipment.

  • Damage or malfunctions due to natural disasters such as fires, floods, thunderstorms, power fluctuations and in general due to random events beyond the control of the manufacturer.

  • Damage or malfunctions resulting from interactions with non-Xerox products, electrical failures, customer network problems, or service provided by organizations or persons not authorized by Xerox.

  • Unpacking, commissioning, operating the equipment, or otherwise doing so in a manner not recommended by Xerox, in violation of the instructions in the user guide or other documentation provided with the equipment.

  • Operation of the equipment in an environment or conditions that do not meet the specifications and recommendations of the manufacturer.

  • Connecting the equipment to third party devices or systems that are not compatible with Xerox equipment port standards or interfaces.

  • Faults caused by insects, rodents and other animals.

  • Expiration of the warranty period.

Purchase confirmation

Any of the following documents may be accepted as proof of warranty for Xerox SMB and Personal Products:

1. Xerox Warranty Card. The warranty card is included with the equipment. The warranty card is filled in by a representative of the trading organization and transferred to the Buyer after a successful check of the operability, appearance and completeness of the equipment.

The warranty card must contain:

  • ALL required fields are filled;

  • the buyer's signature must be present, confirming that the buyer has read and agreed with the terms of the warranty for the Equipment, as well as the fact that the buyer has received the equipment in working order, without damage and in full.

The coupon must be signed by a representative of the trade organization and certified by its seal.

2. Warranty card of the trading organization. The seller organization has the right to issue a warranty card of its own sample to the buyer, which is filled in by a representative of the trading organization and transferred to the buyer after a successful check of the operability, appearance and completeness of the equipment.

In this case, the warranty card must contain:

  • model and serial number of the equipment;

  • date of sale of the equipment;

  • name of the trading organization

  • the buyer's signature confirming that the buyer has read and agreed with the terms of the warranty for the equipment, as well as that the buyer has received the equipment in working order, without damage and in a complete set.

The coupon must be signed by a representative of the trading organization and certified by its seal.

Xerox provides the warranty through its network of authorized service organizations under its standard terms and conditions set forth in the Xerox warranty card and on this website.

If the reseller states on the warranty card other warranty terms that supplement and expand the terms of the standard Xerox warranty, this does not impose any obligation on Xerox to comply with such additional terms.

3. Invoice or fiscal cash receipt issued by the selling organization. In this case, the seller must indicate in the document the date of sale of the equipment, the model and serial number of the equipment.
