OpenText Fax Products

Leader in network fax server and electronic document delivery

Your Challenges

Your business faces increasing pressure to improve employee and process productivity, and to reduce operational costs. With OpenText fax products, you can integrate and automate fax and document distribution with your existing business applications and devices to reduce costs, increase employee productivity and decrease risks associated with stand-alone fax machines and insecure email communications.

Network administrators and IT teams deal with complex, time-consuming challenges every day. Faxing shouldn't be one of them. Computer-based, network fax servers offer a high quality, low maintenance enterprise fax solution well suited for organisations involved in fax-intensive industries. Fax servers allow organisations to consolidate assets and technology to reduce Total Cost of Ownership (TCO), to save time, resources and office space, and remain compliant with increasing regulations on documents, data and communications.

Key Challenges

  • Wasteful spending on document delivery: Paper, printing, postage, and mail are driving up costs
  • Too many stand-alone devices: Fax machines, printers, copiers and scanners are increasing equipment costs along with excessive phone lines and long distance costs
  • Security/compliance is compromised: Traditional methods are error-prone, slow, and do not support a variety of compliance mandates such as logging and tracking
  • Reliability: "I sent it to you."… "I didn't receive it". Traditional methods equal lost documents, no proof
  • IT investments are being consolidated: Xerox MFPs and OpenText fax solutions are replacing stand-alone fax machines with document delivery functionality
  • Worker productivity remains low: Too many organisations use old technology that wastes employee time
  • IT help desk expenses: Stand-alone devices that aren't networked and integrated with software products drain in-house and outsourced resources
  • Unable to retrieve documents and data: Many organisations lack adequate search functionality they need for quick access to documents that have been delivered or received

How Xerox Can Help

OpenText integrates with Xerox MFPs to consolidate all faxing services on the network. This gives users convenient access to faxing capabilities on the same devices used daily for printing, scanning and copying, plus giving the company better control over document flow and security.

OpenText offers two primary methods of integrating with Xerox MFPs: one that supports the Xerox Extensible Interface Platform (EIP) and one that supports both network scanning and server fax accessories. The connector for Xerox EIP MFPs requires an EIP v1.x-enabled MFP. The connector for Xerox MFPs (non-EIP) requires either network scanning or server fax accessories enabled on the Xerox MFP. A third integration option for Xerox MFPs is the OpenText Fax SMTP Connector for MFPs. With this connector, you can easily fax paper documents using nearly any piece of office equipment equipped with Scan to Email capability. Xerox MFPs which are not supported by other connectors may be supported by the SMTP Connector. Note that the OpenText Fax Appliance A10x only supports SMTP connectivity to MFPs.

Key benefits of OpenText fax products include:

  • Significantly increase employee productivity: Increase efficiency by eliminating time-consuming printing, manual faxing, and tracking.
  • Get quick ROI with back-office document delivery: Easy to integrate, automate, and deliver documents from SAP, Oracle, Microsoft, and nearly any system or application. This brings down the high cost of delivering documents, improves productivity, and boosts security and compliance.
  • Lower telecommunications costs: Use fewer phone lines by consolidating phone resources for faxing. Leverage your IP/Unified Communications infrastructure. Take advantage of lower-cost telecommunications with SIP Trunking.
  • Eliminate paper-related overhead: Stop paying for fax paper, cartridges, and machine maintenance. RightFax also eliminates the costs of filing, long-term archival, and manual retrieval of paper faxes.
  • Prevent expensive audit failure: Non-repudiable audit trail and reporting make it easy to provide proof of compliance.
  • Leverage your existing VoIP infrastructure: Extend the utilisation of your VoIP/Unified Communications backbone by integrating fax.
  • Save time by faxing from your favorite applications: Any document that can be printed from your Windows desktop can be faxed, including Microsoft Office documents. If you know how to print, you know how to fax.
  • Make faxing as easy as email: Use your email client to send and receive faxes to save time and keep all communications in one place. OpenText fax products work with any SMTP mail client and provide advanced integration into Microsoft Exchange and Lotus Notes.
  • Fax-enable MFPs: Securely send faxes from your MFPs without purchasing phone lines and costly fax kits for each device.
  • Avoid theft and snooping: Faxes are point-to-point data transmissions to verified recipients. Faxes do not sit or spool on the Internet and cannot be infected with viruses or malware.
  • Get the right information to the right people, right away: Automatically deliver faxes to only the intended recipient via a variety of routing methods, including DID, group distribution, barcode routing, and OCR routing.
  • Stop wasting time hunting for paper faxes: Deliver faxes as text-searchable PDFs which can integrate with imaging/archiving systems.
  • Enjoy the relaxing confidence of deploying the market-leading solution: RightFax has dominated enterprise fax for a quarter century. RightFax is #1 in network fax, #1 in FoIP, and the fastest-growing provider of FoIP.
  • Lower TCO through virtualisation: RightFax and FoIP can be run virtually, employing your existing environment for performance optimisation, load-balancing, redundancy, and disaster recovery.
  • Increase survivability of business-critical operations: The RightFax Shared Services module offers a unique, multi-server architecture for load-balancing, scalability, and redundancy that works with or without virtualisation.
  • Bypass overnight couriers with certified delivery of any file type: The RightFax Secure Documents Module delivers PDFs via encrypted and certified delivery, with a complete audit trail. RightFax can also deliver large files of any type in their native format via certified delivery.
